The Facilities Systems Supervisor plays a pivotal role in managing and optimizing the use of the ServiceChannel platform within the Facilities Team and across other departments.  Additionally, they this individual supports the implementation and use of ServiceChannel by dental office staff and operations teams.

Through strategic planning and effective execution, the Facilities Systems Supervisor ensures Facility and Equipment vendors deliver exceptional service to dental offices and doctors. The Supervisor is instrumental in implementing, maintaining and enhancing the use of ServiceChannel and making sure all stakeholders are consulted, informed, and included in the planning and implementation of ongoing enhancements to the system, including Development, Operations, Accounting, Procurement, Marketing, Education, and IT.

Heartland Dental is growing to expand the dental payor support to more than 1,700+ dental offices supported across 39 states, over 17,000 team members and over 2,600 supported doctors in our support, Heartland Dental has a proven track record of growth and success. To give you an idea of team structure, the Facilities Systems Supervisor will work with our Facilities, Purchasing & Construction Team and cross-functionally with the Clinical Equipment Team, reporting to the Director of Development Systems.

Responsibilities:

 

Below is an overview of the duties and responsibilities you would take on in this role:

  • Supervise and provide leadership to team members involved in ServiceChannel operations
  • Serve as ServiceChannel admininstrator, managing system upkeep, process alignment, and user support for all platform users
  • Develop and deliver comprehensive training programs for ServiceChannel users
  • Communicate system performance, progress, and analytics insights to executive leadership
  • Initiate and coordinate communications between Heartland teams impacted by ServiceChannel
  • Promote Heartland’s transition to ServiceChannel with internal Heartland support office teams, the operations team, and outside vendors
  • Define and implement best practices for workflows within ServiceChannel, adapting and scaling as needed to grow the program and its impact on Heartland Dental
  • Oversee vendor management processes, including onboarding, billing transitions, communications, contract management.
  • Stay updated on ServiceChannel platform enhancements and participate in continuing education opportunities
  • Utilize advanced analytics reporting to create, automate, and disperse reporting for all interested stakeholders
  • Manage the Asset Management system, ensuring accurate tracking and streamlined processes
  • Lead initiatives related to supplier diversity
Qualifications:

Minimum Requirements:

  • Bachelor’s Degree in Data Science/Analysis or related fields OR equivalent work experience 
  • Ability to travel with overnight stays as the position requires (Less than 20%)
  • Strong computer skills, including experience with Microsoft Word, Outlook, Excel, Teams, and PowerPoint
  • Ability to solve complex problems with critical thinking skills
  • Ability to be self-driven and work independently
  • Strong organizational skills, accuracy, and attention to detail
