Duties and Responsibilities
- Serves as Assistant to the Associate Dean for Academic Affairs of the College of Social Sciences (CSS), providing professional responsibilities to ensure achievement and advancement of college's mission and goals.
- Maintains confidentiality and serves as the Associate Dean's confidant on academic, personnel, sensitive, or strategic issues.
- Arranges a daily schedule for the Associate Dean and maintains an electronic calendar for the Associate Dean.
- Coordinates and schedules meetings for the Associate Dean, including making all arrangements for meetings, appointments, engagements, and conferences. Ensure all required documents and information are available.
- Assists with planning and coordinating collegewide conferences on academic topics.
- Prioritizes work to ensure various deadlines are met. Works to provide background information and calls to the attention of the Associate Dean those matters requiring the immediate attention. Handles telephones, email, written requests, and routine correspondence.
- Assists with ensuring compliance with Board, Executive, and collective bargaining processes, as well as College Focus, Department personnel rules, and other relevant laws, policies, and procedures.
- Maintains up-to-date files of all correspondence covering a wide range of subject matter, including policies, procedures, programs, reports, etc.
- Assists with monitoring curricular operations and revisions within departments, including course enrollments, curricular offerings, development and modifications.
- Provides administrative support for academic actions by preparing and reviewing academic requests with accuracy and attention to detail.
- Assists with composing memos and memoranda for understanding/agreements related to academic affairs.
- Prepares periodic and statistical reports for the Associate Dean that might include compiling data from various sources.
- Works closely with the UH Foundation development officer to support donor relations.
- Manages Associate Dean's UH Foundation accounts and coordinates purchasing as needed.
- Coordinates faculty review of applications; processes scholarships and awards.
- Coordinates with sponsoring organizations on establishing new scholarship funds, including defining requirements, criteria, procedures, and applications.
- Assists with processing purchase orders and payments related to awards and commencement ceremonies.
- Serves as the Parking Coordinator for the college, processes parking requests in coordination with CSS units, and distributes parking allocations to the units in CSS.

Minimum Qualifications
- Possession of a baccalaureate degree in Business Administration, Education, Arts & Sciences, or related field and 0 year(s) of progressively responsible professional experience with responsibilities for business administration, program administration, and/or supporting executives/administrators; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
- Functional knowledge of principles, practices and techniques in the area of business administration, program administration and/or supporting executives/administrators demonstrated by knowledge, understanding and ability to apply concepts, terminology.
- Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with business administration, program administration and/or supporting executives/administrators.
- Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of business administration, program administration and/or supporting executives/administrators.
- Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
- Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
- Demonstrated ability to operate a personal computer, apply word processing software, and spreadsheet software.
- Demonstrated strong organizational skills, with the ability to work efficiently under pressure, handle frequent interruptions, and remain flexible while managing multiple concurrent assignments with competing deadlines.

Desirable Qualifications
- Professional experience in a higher education environment, with an understanding of academic administration and operations.
- Proficiency in database management systems and Microsoft Office Suite.
- Experience with InDesign, Creative Cloud, and other design or media software, with the ability to create materials for events, communications, and marketing.
- Experience with project management techniques, such as agile or scrum, and the ability to manage multiple projects efficiently in a team-oriented environment.
- Demonstrated attention to detail, ensuring accuracy in documentation, reporting, and compliance with procedures.
- Demonstrated time management skills, with the ability to prioritize tasks and manage competing deadlines effectively.
